Leading up to the event

Registration

Please remember to register before the 11th of May via the web using the promo code provided to you by our event manager, Gabriela, as all promo codes expire midnight on this date. This is to ensure your conference badge can be printed and ready for you for collection, as security will not let anyone pass without a badge.

Session materials

We will need your session presentation by the 12th of May, and latest 16th of May if any further changes need to be made. We understand speakers make changes at the last minute, so why do we need your presentation by these dates? It’s because we need to prepare them and upload them onto the web so attendees can download them after the conference, we also load them onto the conference room laptops, even as a backup in the case you want to use your own laptop to present. The organisation will honestly be just too busy with setting up the event the days leading up to and during the event to do/redo this work after these dates and we kindly ask you to understand this. The version received by these dates is the version that’s made available to attendees after the conference.
Your presentation should be 16:9 or widescreen format to correctly fit the conference hall screens, older formats like 4:3 do not size up well on high definition widescreens. You can optionally use the expo:QA’25 template here if in doubt. The presentation should also comply with the conference standards, as set out in the speaker agreement. It should not include any sales or promotional material as you are speaking in the non-commercial tracks, expo:QA has two separate tracks for commercial sessions that promote services and companies. Your presentation must only include one slide at most summarising your professional biography, one slide about your company and must not include any corporate logos. You will be kindly asked to remove any commercial content if included.

At the event

Transport to/from airport/hotel/conference venue

Public transport or taxi/cabify can all be used to get to and from the airport, conference hotel and conference venue. Both hotel and conference venue can be located here. You can register for a cabify pickup here.

Badge collection

You can either pick up your badge the morning of the workshops at the conference hotel on the 20th of May or the morning of the conference on the 21st of May, depending on when you’ll arrive into Madrid. Note that there will be a separate queue for speakers at registration for badge collection.

Giving your session

Your session will have a support staff to liaison with the sound crew, as well as to help start the session on time and give you an indication of where you are in your time-box. Connect with them when you arrive before your talk to decide on when a signal is given. The program committee and event staff will be on-hand to assist as needed. If you would like someone active in the room to facilitate Q&A (other than just handing around a microphone) or other help, let us know and we’ll either arrange a peer of yours to be there, or one of them will support you themselves.
If you decide to use your own laptop, you should test it at some stage prior to your session to ensure you won’t run into problems when it’s your turn to present, however it is not advisable to use your own laptop as technicians in the conference room could run into connectivity problems that in turn could provoke unnecessary delays. We understand that it’s more comfortable using your own laptop, but we will have a high definition Macbook Air in the conference room with your presentation on it to use, along with a slide presentation remote clicker and a HDMI adaptor, which are all tested the day before the conference, to prevent problems when it’s your turn to present. If you would like any specific fonts previously installed on this laptop to match the style of your presentation, please don’t hesitate to let us know in advanced when sending it to us. If you need sound for your presentation, remember to mention it to one of the facilitators in the conference room.

Wifi

expo:QA will have two wifi networks, one for attendees and another for the organisation. We recommend speakers connect to the organisation wifi, as there will be less load on this network.

Cultural tour

Join us on a cultural evening around Madrid on the 20th of May, where we’ll take you on a historic & gastronomic guided tour around Madrid’s city centre. Enjoy some great tapas and wines, stopping at many emblematic monuments of the city as well as enjoying a pleasant and cultural evening together the evening before the conference.
The guided tour is around 1.5 km and very easy to walk, you’ll stop at various bars for tapas and wine while enjoying Madrid’s culture! It’s a great way wind down after the workshop day, if you are giving one, or just simply to kick-off your stay at expo:QA, if you arrive in on the 20th.
Transport to and from the meeting point is arranged and taxis will leave at 19:30h from the conference hotel, returning around 22:30h.

Community space

There’s a space for speakers to have extensive chats about their talks or other subjects in the exhibition hall. Please make use of it throughout the conference, but especially directly after your talks when possible. Not only does this allow more engagement with your topic, we believe in giving everyone who worked hard to present the chance to expand on their topics throughout the conference, not just in your time-slot.
There will be many fun and interesting activities happening in this space and we are always open to new ideas you may have, for example, if you would like to setup a Test Clinic or something similar, please let our program chair, Rick Tracy, know and we’ll do our very best to facilitate it.

Networking dinner

The expo:QA networking dinner will be held on the 21st of May and as a speaker you are invited to attend. It’s the perfect opportunity to relax after an exciting day at the conference and catch-up with fellow speakers.
Transport to and from the restaurant is arranged and a coach will leave at 20:00h from the conference hotel, returning at 23:30h.
Please confirm your attendance with our event manager, Gabriela, by the 15th of May, as we need to confirm final numbers with the restaurant by then. If you sign-up for the networking dinner and for some reason are unable to attend on the day, also please inform Gabriela as we can offer your place to someone else.

Game show

The expo:QA Game Show is a great opportunity to have fun at the end of the day on the 21st of May, giving your opinion on numerous topics about testing. Anyone can participate but speakers usually make up most of the contenders, having fun debating their opinions among themselves. We really encourage you to participate as again it adds to your experience at expo:QA. Please get in touch with our program chair, Rick Tracy, and let him know you’d like take part.

Morning entertainment

If you have interesting mini activities you enjoy doing or would like to present something quick, please get in contact with our program chair, Rick Tracy, and we’ll arrange it. We’re looking for some morning pre-keynote entertainment, to reward attendees who show up early and on time, and if you wish for some extra exposure or just to do something fun, let us know.

Food & drinks

Food and drinks will be provided by a catering service during the breaks and will be served through out the exhibition area. If you have any special dietary requirements, please let our event manager, Gabriela, know by the 14th of May as we need to finalise catering by that date.

Communicating with us

Simply come straight up to any member of staff, who can be easily identified by their green expo:QA polo shirt, or approach any of our program committee during the event if you need any assistance with anything, we are all here to help at any time during the event. After the event

Farewell drinks

The expo:QA organisation and program committee truly appreciates the effort and commitment you make preparing for and giving your session at the conference. A great conference is made up of a great team of speakers and we’d like to invite you for a farewell drink when the conference ends. If you still have time before making your way home, please feel free to join our event director, Graham Moran, at reception for a final glass of wine and champagne.

Travel reimbursement

To reimburse your travel expenses, according to the expo:QA speaker expenses entitlements, see here, we will need qa signed expenses sheet from you. Note that all you have to do is send on our event manager, Gabriela, your receipts and bank account number and Gabriela will prepare an expense sheet for you to sign. Note that the bank account must be your personal bank account and not the bank account of the company you work for. Remember the speaker agreement we have is with you and not your company. The expo:QA finance team will not pay travel expenses into a corporate bank account, as your company would first need to become a service provider to NEXO QA (the organising company of expo:QA), which they will not accept as there is no comercial contract between the two companies.
Our finance team can pay via regular bank transfer, revolute or paypal. Please note that there are three payment periods; 31st of May, 15th of June and 30th of June. After that date we close out expo:QA, so please send us your expense sheet before the 30th of June.

Workshop remuneration

If you give a workshop on the 20th of May, we’ll need a valid invoice to pay your corresponding fee, this is Spanish accounting law, as workshops are classed as training and cannot be paid through a travel expense sheet. Note that workshop fees are paid separately to travel expenses and, as above, payments are made in the same three payment periods.
